Cycle meeting (road and MTB) - 1 December 2018
A bike meet, to share riding and kit experiences, propose a budget, sell  bike bits (or fob off your junk!)  enjoy motivational videos and hopefully get some special AOAC offers on kit.

There will be 2 rides (mountain biking and road riding); all abilities welcome, leaving from the Greedy Goose. Meet at 11.00 am for both rides (careful which you choose... road riding on rocks is tricky and MTB'ing on road is hard work!). Food and Drinks available to buy at the cafe.

Open Social evening for current, new and potential new members - 5 December 2018
The Boardroom, St Nicholas Street - 7.30pm

On the first Wednesday of the month we meet for a social with current members, newly joined members or people who are considering joining the club - all are welcome.

Kath has booked a table from 7pm if anybody would like join her for food before the social.

This is an opportunity to understand how AOAC works along with a short talk about the various activities we run and how to get involved in them. It’s also an opportunity for you to ask questions. Please come along and join us.

From 8:30pm it is a general social evening for existing, new and potential members.
 

AOAC Christmas Party - 21 December 2018  
Come join us for what’s going to be a great night; there will be a hot buffet, music and dancing, and, of course, meeting up with club members who you may not have seen for a while :D

Tickets are selling fast and the cut off date for buying your place is Thursday 6th December. Don’t be disappointed ....book early.
There will be no tickets available on the night or admissions without a ticket.

Click on the links for full details. These are mostly "Save the Date" events with booking opening at various times (see individual event) although you can book the sea kayaking and Ireland now. 

So, which of these takes your fancy? So much choice, so much variety; we are being thoroughly spoilt next year. I know which one I've got my eye on :)

I think a big well done is due to all the organisers... we do appreciate all the effort you put into bringing such fabulous events on to the calendar for us all to enjoy. Thank you x.

Arranging an Event 

Why we arrange events on the calendar:
We can do something we enjoy with like-minded people.
We can choose the activity, the venue and the date to suit ourselves (within reason).
We can share the costs of doing something we enjoy.
Arranging something different is great fun.
If we're not comfortable with bunkhouse accommodation we can arrange a more luxurious trip.
We can bask in the knowledge that we've put on a great event and enjoy the acclaim of the participants.
We may be able to use these events towards a qualification - hours, skills, CPD (Continuing Professional Development).

And last but not least.....we get an invite to the Contributors Party!! 

What we can arrange:
Looking at the calendar you can arrange all sorts of events:
From single sessions of climbing, MTB, cycling, walking, kayaking, to activity-specific weekends or multi-activity weekends, to full-on week/fortnight trips; from basic camping/bunkhouses/YHAs to luxury accommodation; from a few participants to 50+ participants. Not forgetting Socials and 'Other' category events. The choice is yours.

Where we start:
Think of the event you wish to put on - take on an existing event and replicate, take on an existing event and tweak, think of something new....start wherever makes you comfortable

How to Do It

Before you book anything:

  • Look at the calendar to check your event doesn’t clash with another. If it does speak to the Activities Officer (AO) to discuss the viability of running two events at the same time.
  • Ensure you have allowed sufficient time for the event to fill (at least 6 weeks if possible).
  • Check the ‘Financial Management for Events’ on menu. (Ignore if no costs are involved).
  • You can provisionally book accommodation, courses etc at this stage but do not commit financially until you have AO approval.
  • Ensure you have Approved Leaders on board if required – you can have the event open to these members for payment first to ensure they are able to book their place.  Contact AO for help.
  • Complete the Event Proposal Form (‘Propose an Event’). Be sure to complete the Budget section with enough information to explain the Club’s financial outlay and terms (otherwise the AO cannot approve the event). 
  • Wait to hear from Activities Officer by either:
    • Email confirming your event is approved
    • Email/phone call to discuss any issues
  • When you have AO approval – book!

 After you've booked the event:

  • Your event will appear on the calendar.
  • You complete a Payment Request Form to arrange payment of any expenses. Receipts/Invoices can be photographed to upload as a file. However, the file size is limited to 2 MB, alternatively attach to an email to[email protected].
  • Market the event – use the Forum and Facebook to advertise (NB no specific details on Facebook please). Write some copy and email to Communications Officer ([email protected]) for inclusion in the Newsletter. Do not expect the CO to automatically include your event, please send your own copy.
  • You need to keep your eye on how the places are selling. If it is an activity-specific event, consider opening up as a multi-activity event if necessary.
  • To make changes to the event go to ‘Events to complete’ where you can edit the proposal form.

 During the event:

  • If you have a surplus of income over expenditure (eg the contingency monies) this can be used for the enhancement of the event. Eg. to buy food/drink, equipment (to go onto Club inventory), entrance fees or whatever can be shared by the group.

 After the event:

  • Any final expenses should be claimed using the ‘Payment Request Form’ with receipts.
  • Complete the event - go to ‘Events to complete’ and enter details of all participants.

It's really not that complicated.The main thing is to be realistic, if you put in a proposal for a large group event with only a couple of weeks notice, it's unlikely to be approved, but that's not to say your efforts are not appreciated - just get the timing right and Bob's your uncle!

And let's remember, AOAC is run by its members for its members. Play your part, don't just leave it to the same old crowd.

To improve our ranking with Google, please use hashtags on all your posts,#aoacbristol, #walking, #kayaking, #mountainbiking, #climbing, #cycling - you get the message. Then if anyone searches any of these hashtags our pictures/info will be in their search and gives us a double whammy - improves our Search Engine Optimisation and introduces our club to other like-minded people.

New Road Cycling Leader
We are proud to announce that we have a new cycle leader. Jo Byrd became a Road Bike leader on Saturday having completed her theory session back earlier this year, and her practical assessment by leading a lovely, albeit cold and wet to start and cold to finish, on Saturday. Well done Jo! Here's to some more bike rides on the calendar.

For activities that are weather dependent, there are often ad hoc events posted on the forum close to the day. It is worth subscribing to these as you will receive an email with the content of the message and a link to the page. Then you won't miss out on that last minute walk/climb/paddle/ride. Also, we have a Facebook page, if you haven't already, join the group where you will find postings of ad hoc events and photos of past events.
